Westward Medical is a busy, collaborative multidisciplinary practice offering family medicine, pediatrics, women?s health and allied health services under one roof.
We are looking for a full-time Medical Office Assistant to join our team as a cross-trained MOA. This position will provide front-desk and administrative support across our family practice, pediatric clinic and women?s health clinic.
Front Desk Support
Welcoming patients and providing a warm, professional first point of contact
Checking patients in and out
Answering and directing phone calls, emails and patient inquiries
Booking, cancelling and rescheduling appointments
Confirming and updating patient demographics and contact information
Supporting patient flow and ensuring the front desk remains organized and efficient General Clinic Support
Processing incoming and outgoing faxes
Managing referrals and following up on outstanding information
Scanning and attaching documents, lab results and reports
Preparing charts, forms, requisitions and other documentation
Supporting physicians and allied health professionals with administrative needs
Assisting with pediatric clinic workflows and patient preparation
Providing administrative support to our women?s health clinic, including procedure coordination and related documentation
Helping maintain organized examination rooms and ensuring supplies are available
Assisting with inventory, stocking and general clinic organization
Communicating with pharmacies, specialists, hospitals and other healthcare providers as required
Assisting with clinic projects and other administrative tasks as needed About You You are someone who:
Has previous office experience
Is comfortable working in a busy, multi-provider environment
Can prioritize competing tasks while maintaining attention to detail
Takes initiative and looks for ways to support the team
Communicates clearly and professionally with patients, physicians and colleagues
Is comfortable asking questions and learning new processes
Is calm and compassionate when working with patients
Understands the importance of confidentiality and professionalism
Works well independently while also contributing positively to a team environment
Is comfortable learning and working within an EMR Experience in any of the following would be an asset:
Family practice
Pediatrics
Women?s health, obstetrics or gynecology
Specialist clinics
Referral management
Procedure coordination
Telus CHR or another EMR
Multidisciplinary healthcare environments We are open to candidates whose experience does not perfectly match every aspect of the role.
Strong organizational skills, initiative, communication and a willingness to learn are just as important as specific clinical experience.
